Cancelation & Rescheduling Policy

Rescheduling

Under most circumstances, we’re happy to offer flexible rescheduling. However, due to deadlines with our vendors for coffee, pastries, custom branding, and other products, we maintain the following limits:

Single-Day Events: We will reschedule with as little as 72 hours’ notice, pending availability. Unfortunately, we aren’t able to reschedule single-day events with less than 72 hours’ notice and you will be charged for the full event service.

Multi-Day Events: We will reschedule with as little as 7 days’ notice, pending availability. Unfortunately, we aren’t able to reschedule multi-day events with less than 7 days’ notice and you will be charged for the full event service.

Rescheduled events must occur within 12 months of the original date and may be subject to updated pricing and/or travel fees.

If custom-branded items (e.g., decals, menus, latte printer sheets, cups, or similar) have already been produced or ordered, these items are non-refundable and will be invoiced in full regardless of rescheduling or cancellation.

Cancellations

The 50% deposit is non-refundable for any cancellation. Cancellations made within 7 days of the event date require payment of the full remaining balance, as staffing, preparation, and supplies have already been committed.

Inclement Weather / Outdoor Events

For outdoor events, the client is responsible for securing adequate cover to protect equipment, product, and staff from rain, wind, or extreme heat. If weather conditions render service unsafe or impractical and no suitable cover is provided, the event will be treated as a cancellation by the client.

Cancellations by Charlotte Mobile Coffee

If Charlotte Mobile Coffee must cancel due to unforeseen circumstances, the client will receive a full refund of all payments made, or may reschedule at no additional cost.
